Fix collaboration portal and guest access problems
Resolve portal problems: a guest who cannot open the portal, a participant who should no longer have access, a file or message that is missing, or a portal that will not create.
Purpose
Diagnose and clear the common reasons a guest cannot reach a portal, a participant still has access, or portal content is missing.
Who this is for
Admins or owners whose collaboration portal or guest access is not working as expected.
Prerequisites
- Permission to manage the affected portal.
- The portal and the participant or guest involved.
- The email address used when the guest was invited, if a guest is affected.
Steps
- Open the portal and review the participant list and each role.
- For a guest who cannot get in, confirm the email invited when the portal was created matches the guest's email.
- If the wrong email was used, create the portal access again with the correct guest email.
- For a participant who should no longer have access, revoke them from the participant list.
- For a missing file or message, confirm it was added to this portal and the participant is not revoked.
- If the portal itself will not create, confirm you have permission to create portals in the workspace.
Expected result
Guests reach the portal with the email they were invited under, access is removed by revoking, and portal content is visible to current participants.
Verification
- The participant list shows the expected owner, creator, and guest.
- A revoked participant can no longer open the portal.
- Files and messages appear for current participants.
If something goes wrong
- A guest still cannot open the portal
- Guest access is set at creation; if the wrong email was used, set up the portal access again with the correct address.
- A participant should be removed
- Revoke their access from the participant list; access is removed rather than downgraded.
- Content is missing for a participant
- Confirm the item was added to this portal and that the participant has not been revoked.

Managing a portal and revoking access needs an owner or admin role; guest access is set when the portal is created and removed by revoking.
