Review members and change a member's role
Review the people in your workspace and change a member's role from Tenant Admin, so each person has exactly the access their job needs.
Purpose
See everyone in your workspace and adjust a member's roles so each person has the access they actually need, without granting more than the task requires.
Who this is for
Workspace owners and admins who manage who can do what across their workspace.
Prerequisites
- An owner or workspace admin role, since role changes are limited to admins.
- Agreement on which member should gain or lose which role, and why.
- A clear idea of the smallest set of roles that lets each person do their work.
Steps
- Open Tenant Admin and go to the Users tab to see everyone in your workspace.
- Find the member you want and read their current roles and account status.
- Switch to the Roles tab, where the same members appear with role toggles.
- Turn a role on or off for that member; the change saves on its own.
- Wait for the saved confirmation and check that the toggles now match what you intended.
- Leave at least one role assigned, since a member cannot be left with none.
Expected result
The member's roles reflect your change right away, a saved confirmation appears, and the toggles show the exact roles you chose, with at least one role still assigned.
Verification
- The member list shows each person's name, email, and status before you change anything.
- After you toggle a role, a saved confirmation appears and the toggles reflect the new roles.
- Reopening the Users or Roles tab shows the same roles you just saved.
If something goes wrong
- The role toggles will not respond
- A change is still saving for that member; wait for it to finish, then try again.
- Your change is refused
- Confirm you have an owner or workspace admin role; some changes are limited by the workspace admin boundary.
- You cannot remove a role
- Every member must keep at least one role; add the replacement role first, then remove the old one.
Permissions
Viewing members and changing roles needs an owner or workspace admin role; changes apply only within your own workspace and never reach platform-only operations.
